Security of Personal Data

Personal data will be collected from you when you apply online and your personal data will be used to manage your application(s).

Lumesse TalentLink and Southwark Council will use your information for the purposes of administering the services in connection with this site.

We are committed to being transparent about how we collect and use your data.

Data Protection and confidentiality

Both parties shall ensure that the Services Provided comply with the requirements of all legislation in force from time to time within the United Kingdom governing the collection, storage and/or use of Personal Data, including, without limitation, the requirements of Data Protection legislation or any other applicable law.

All of our job application pages start with or contain “https” – this means that all of the data supplied by the applicant is encrypted before being transmitted, this guarantees security for transmission over the internet.

When submitting an on-line application you will be asked to consent to the processing of sensitive personal data (as described below).

How we use the information your provide

The organisation has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows the organisation to manage the recruitment process, assess and confirm a candidate's suitability for employments and decide to whom to offer the job. The organisation may also need to process data from job applicants to respond to and defend against legal claims.

The information that you provide on your online application form and that obtained from other relevant sources will be used to process your application for employment with Southwark Council.

Where Southwark processes other special categories of data, such as information about ethnic origin or disability, this is done for equal opportunities monitoring purposes and is anonymised when collated for reporting.
The personal information that you give us will also be used in a confidential manner to help us to monitor our recruitment process.

If you succeed in your application and take up employment with the Council, the information will be used in the administration of your employment with us and to provide you with information about the Council.

We may also use the information if there is a complaint or legal challenge relevant to this recruitment process.

Southwark council will not share your data with third parties, unless your application for employment is successful and it makes you an offer of employment. We may then share your data with former employers to obtain references for you, occupational health providers and the Disclosure and Barring Service to obtain any necessary criminal record checks.

Holding your personal data

If your application for employment is unsuccessful, Southwark will hold your data for 2 years after the end of the relevant recruitment process. At the end of that period, or once you withdraw your consent, your data is deleted
.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your period of employment. The periods for which your data will be held will be provided to you in a new privacy notice.

Personal data will be processed fairly and lawfully in adherence to Data Protection legislation.

Southwark takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties.

However, the internet is an open system and neither Lumesse TalentLink nor Southwark Council can and do guarantee that the personal information you have submitted will not be intercepted by others and decrypted.

Keeping your own data secure

It is important to note that we will never send you an email asking you to confirm any of your personal details.
