The role:

To provide administrative support to service areas within the Community Safety and Partnerships Business Unit, by managing databases, financial processing, supporting monitoring functions. This will include undertaking a range of tasks in relation to the efficient and effective operation of Community Safety Partnerships work strands and multi-agency partnership programmes.

Principal Accountabilities

To provide professional administrative support including everyday office functions; correspondence, archiving and filing, and dealing with email enquiries, to support the effective running of Community Safety Partnership services.

Support multi-agency meetings; through preparing case lists, accurately recording minutes of case discussion and associated actions, supporting the efficient and effective function of the meeting.

To support the co-ordination function of multi-agency meetings, supporting set processes and time lines for effective delivery

Maintain electronic files, databases and other information sources to enable information to be easily retrieved.

Update case management systems and databases, ensuring the accurate recording of data, meeting data sharing and GDPR requirements.

Provide statistical information as and required to support monitoring processes and effective delivery of services in achieving outputs and outcomes.

To be responsible for producing information for reports on performance and quality. Taking appropriate remedial action where needed, to ensure that changing priorities and circumstances are managed, targets and standards met and value and performance optimised.

Assist in the statutory Community Safety and Partnership annual strategic assessment process. This feeds into and sets the priorities of the 3 yearly Community Safety Partnership Plan.

Identify external funding opportunities to support Community Safety Partnership work streams initiatives. This mainly compromise of scanning of key funding websites to identify opportunities which the Council are eligible to apply for.

Identifying developments in best practice, legislative and other changes in relation to community safety and related disciplines, in support of service development.

To undertake a range of tasks in relation to the efficient and effective operation of the finance functions in the division in accordance with agreed procedures and guidelines.

 

Additional details
